Function description maritime vacancy Payroll & Finance Administrator (US)

The Payroll and Finance Administrator ensures the integrity of accounting information by collecting, verifying and recording transactions. The Administrator supports business & financial decision-making information by analyzing and reporting financial information. The Administrator pays employees, compiles payroll information and maintains records.

General duties and responsibilities:

  • Prepares and records asset, liability, revenue, and expenses entries by compiling and analyzing account information;
  • Maintains and balances subsidiary accounts by verifying, allocating, posting, reconciling transactions; resolving discrepancies;
  • Follow up with customers to ensure timely receipt of payment. Receive payments and apply to customer accounts and accordingly;
  • Maintains cash flow by monitoring bank balances and cash requirements;
  • Approves cash disbursements by verifying check amounts against invoices, authorizing checks and wire transfers;
  • Summarizes financial status by reconciling entries and collecting information; preparing balance sheet, profit and loss, and other statements analyzing and investigating variances and trends;
  • Responds to financial inquiries or audits by gathering, analyzing, summarizing, and interpreting data. Maintains accurate audit trails for all financial transactions;
  • Provides financial advice; applying financial principles and practices; developing process and internal control recommendations;
  • Maintains payroll information by designing systems; directing the collection, calculation, and entering of time and attendance records;
  • Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers;
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages;
  • Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and workers compensation payments;
  • Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, and department/ division transfers;
  • Pays employees by directing the production and issuance of paychecks or electronic transfers to bank accounts;
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages;
  • Determines payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer's social security, unemployment, and workers compensation payments;
  • Resolves payroll discrepancies by collecting, analyzing information and answering questions and requests;
  • Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions. Updates job knowledge by keeping current with financial regulations and accepted practices, participating in educational opportunities and reading professional publications.
  • Assists management and employees with commercial bids, costs price calculation;
  • Act as office manager in organizing time sheet and general administration.

  • Bachelor’s degree in business administration, Accounting or Finance;
  • Solid knowledge of relevant legislation, policies and regulations;
  • Computer savvy with working knowledge of payroll & accounting software;
  • Excellent written and verbal communication / reporting skills.
